The Customer Service Representative serves as one of the primary business contacts for the customer and is responsible for overall customer satisfaction. The Customer Service Representative is expected to consistently provide excellent customer service to accounts, as well as represent customer needs and goals within the organization to ensure quality.ResponsibilitiesOrganize, input and update relevant data, including the creation of shipping documents, the entering of load receipts and all related functions using both internal and external computer applications to effectively service the customer and maintain up-to-date, accurate transactional records and inventoriesEnsure adherence to customer requirements and organizational standard operating procedures at all times, including, but not limited to, communication, processing of paperwork, billing, and inventory maintenanceInitiate, administer, and assist with cycle counts, physical inventories and associated functions to maintain accurate inventories at all timesEnsure customer issues are dealt with in an effective manner, involving the customer service supervisor and/or operations manager when necessaryCommunicate and provide information by relevant methods both internally and externally to assist warehouse operations and customersFile data and perform other routine clerical tasks as neededOrder and maintain relevant office supplies and equipment? Ensure high quality customer service, professional communications, and interaction with customers, employees, and co-workers. ? Reporting any anomalies in freight such as damaged, overages or shortages immediately upon discovery or occurrence of damage. ? Complete accurate picking and loading information on each shipment in a timely manner. ? Maintain accurate inventory spreadsheets and computer records of all customer inventories. Qualifications ? Ability to perform comfortably in a fast-paced deadline oriented work environment ? Ability to work as a team member, as well as independently. Fluent English and Spanish• Entry of sales orders, sample orders and quotes.• Manage and keep updated quote/samples wall.• Resolutions of customer’s inquiries (orders issues, questions, order’s status, etc.).• Handle all inbound calls, and requested outbound calls• Manage all business related emails.• Work on open orders report daily/every other day/weekly according to business needs.• Check on wall of production orders and keep organized by date and category.• Check on artwork proof pending wall, check status for approval with customers and report accordingly.• Work on artworks for repeat orders and website virtual proofs. (no experience needed)• Oversee/Supervise production for large or new projects.• Check PO’s board, and confirm with suppliers if orders were received and committed shipping date. Take note on PO of status and date• Resolution of office related problems (FedEx, UPS and Comcast etc.) and report accordingly.
